How to organize and name collections

This articles provides best practise advise around how to name your collections. This will help keep your collections browser organized

Creating guidelines for naming collections is one of the best ways to keep your work in Favro organized. Not having any structure around this will most likely result in a messy collections browser, even for smaller organizations. In this guide, we’ll go over the basics of keeping your collections browser neat and tidy:

  • Making sure you're using the correct visibility settings

  • Establish collection naming guidelines

  • Managing existing collections

  • Star the collections you use the most

Visibility settings

First things first, when creating a new collection you need to choose a visibility setting. There are three different visibility settings:

It's a good idea to reflect on whether the collection really needs to be accessible to everyone in the organization. It might be good to let everyone access the overview collections and teams' collections for transparency purposes. However, if only a few people are working on a small project that doesn't effect everyone, it might be better to consider making the collection private and only invite the members that are involved in the project.

Establish collection naming guidelines

Next, consider setting up a standard for how you name collections. This will keep your collections browser organized and you will quickly be able to find what you're looking for. Here are a few of our favorites:

Team
: For functional teams to plan and coordinate team-related work.

Example: Content team, Design team, Development team, Human Resources team.

Project: For cross-functional teams working together on a joint project or when a large, complex project requires its own collection. 

Example: Project christmas campaign, Project logo rebrand, Project new office.

Office location: For office management such as IT inquiries, suggestions / out of order, vacation & absence, company directory (meet the people), office services & vendors.

Example: Stockholm office, Paris office, Tokyo office.

External collaboration: For inviting and collaborating with external guests, such as clients, freelancers, agencies and more. This allows you to limit what the external guest can see in your organization. 

Example: Clientname, Collaboration project with client, Freelancer collection,

Overview: For overviewing work from several teams, projects or clients at once by gathering boards and backlogs from different collections.

Example: Marketing overview, Sales overview, Finance department

Public: For information you want to share with everyone.
Example: Public roadmap, Press & media

Managing existing collections

Things change: a project could be renamed, postponed, or canceled completely. Teams merge and split, clients leave and come back. Here are some ways you can keep your collections organized after they've been created. 

  • Rename: Renaming a collection to something more appropriate.

  • Archive: Archiving a collection removes it from the collection browser temporarily. You can choose to show archived collections and unarchive them at a later point.

  • Delete: Deleting a collection will remove the collection and all of its contents permanently.

Star the collections you use the most

Lastly, if you're only really working in two or three collections, you can star these to put them at the top of the list for quicker access to your favorite collections.
