Main status field (Early access)

In various projects, we often want to align with other colleagues and teams so everyone is on the same page. However, following the same workflow or structure can be more challenging as each team can individualize its setup.

To better understand how the teams are working, the newest Main status feature will allow multiple boards to follow the main status, keeping everyone on the same workflow structure.

The Main status field decides which columns appear in the Kanban view and is the default status in the relations table.

With this, you can now also include a shared status field as the Main status in the Kanban view, allowing better synchronization between multiple boards.

With the Main Status field update, we have moved the Status permissions into the Main status field option.

Main status field Features

Here is what you can do in the Main status menu:

  • Edit the Main status field on a board level

  • Check where the Main status is applied

  • Change Main status field on a board level

  • Map statuses when changing Main status field


How to set main status fields

If you created a board with the Kanban, Sheet, Dashboard, or Roadmap view, the Main status field will already be set, which you can change from step 3.

If you do not have the views or would like to change a Main Status field, then:

1. Have or create a shared status field in the organization that you would like to use on multiple boards.

2. Open the board menu and choose Main status settings.

3. Select the option Change main Status field.

4. Choose the created shared status from the list as the Main status field.

5. Map old status fields to the Main status fields.

6. At this step, there are a few options that can be chosen, depending on the wanted outcome:

  • Automations: Enable this setting to automatically update board automations whenever a new mapping is applied. Existing automations will adjust to reflect the updated status mappings.

  • Replace or keep status values: Decide whether to overwrite previous status values with new ones or retain them for future reference. Both new and old values are kept in the board.

NOTE: After the Main status field has been set, it will appear on the board sheet view and on the cards. Deleting it will cancel the 2-way sync setup with other boards who are using that Main status.


IMPORTANT!

  • Do all board views come with Main status field?

Not all board views have the Main status field from the beginning. Card list and Form views do not have it set. When you create a Kanban view, it will have the Main status applied already.

You would need to set it manually or add a sheet view and a status field with the Main status option applied.

  • How does status deletion work on main status fields?

When deleting a Kanban column/Label on any of the set boards, it will be deleted from all other boards and also the cards that are in that Kanban column/Label.

  • What happens when you try to change or rearrange the Kanban column/Label?

A message will appear informing you that this change will affect other boards and asking if you want to confirm the change.

  • What happens when editing is done on boards with many cards?

A message can appear informing that due to many cards, the action could take up to a couple of minutes.

For others who are looking at the board while the change is happening, a loading icon will appear, and new cards will not be created while the process is ongoing.
