In the Timeline view you can see a list of members or groups and a timeline. Managers can see cards laid out and planned on the timeline, arranged by which people or groups they are assigned to. The Timeline view gives actionable insight into how allocated teams are and answers vital questions about future capacity such as: 

  • Will we ship on time? 
  • Do we have the capacity to take on more work?
  • Do we need to redistribute work or hire more staff?

The Timeline is available from the App selection menu in the top right corner.

There are two ways to work in the Timeline view:

  1. Scheduling through adding Start and Due Dates to cards and have a set timeframe on a task.
  2. Agile planning, through Estimation of time (hours or days) and comparing scope vs. capacity.

In this article we will show you both ways to manage work in the Timeline. 

1. Scheduling through adding Start and Due Dates to cards

In the Timeline view you can view all members or groups in a list to the left and the timeline with the allocation to the right. Each colored block is represented by a card with a specified Start and Due Date on it. 

To get a quick overview of how much capacity your teams have or when they will be able to take on new work, the allocation lane is displayed with colors for both individuals and teams: 

  • White: Nothing is planned
  • Light green: Under allocated
  • Green: 100% fully allocated
  • Red: Over allocated

By clicking Search for cards a menu will appear on the left side. Here you can easily find cards based on various criteria, add them to the timeline and move them around by dragging and dropping. 

2. Agile planning through estimation of time

When team members estimate cards and assign themselves to them, the cards will automatically appear in the Timeline view in their estimates lane. All the estimated cards add up from today's date and the estimates lane shows the scope of the work planned. This way you get a bar for how long you are booked up and can compare the scope of work with the capacity of your teams. 

To redistribute work you simply drag one card from one person to another. As you can see above, Lesley has more work planned than Alan. In order to even out the workload we pull the card from Lesley's to Alan's board. Notice that Alan automatically becomes the assignee of that card. 

Just like when doing scheduling based on Start and Due Dates, you can see the allocation lane in different colors for both individuals and teams depending on the workload. The difference is that you can not over allocate a person or a team, since the cards are automatically placed next to each other they can not be stacked. 

Timeline settings

By clicking the Timeline settings button in the top right corner you can:

Show relations on cards if you not only want to see the title of the card but also the name of the boards and backlogs on which the card lives.
Set working days to choose which days of the week should be available for work to be planned.
Configure estimation to decide if estimation should be done in days or in hours (applies to the entire organization when changed).
Show estimated cards to hide / show all Estimates lanes.

This way managers can easily get an overview of where cards are on the Timeline and how people and groups are allocated. Change the scope of work, reschedule it or assign it to a another team member by easy drag n' drops!
