There are a lot of different tasks that needs to be done every month in time for the monthly closing. It is very important that all tasks are done in time and that nothing is forgotten.

Keeping track of all these tasks takes a lot of time and communication in the team, and it can also easily be forgotten if you don't have a proper process in order.

Wanted actions and how it saves time:

The team would like the automation to automatically notify them when a card is ready to be reviewed 10 days before the month is over.

Solution:

The automation is triggered every month on the 20th of the month. Whenever a card is in the status 'Repeated Monthly Tasks', the automation will send a notification to the team member responsible for the board.

Vendor payments

Situation and why it takes time:

A finance team needs to pay vendor bills on Tuesdays every week. And it's always the same process with the same tasks that need to be completed in a specific order. It takes time to manually look through these every week.

Wanted actions and how it saves time:

To have automations automatically create these task every week, with the correct card template applied so that members can pay the vendors and respond accordingly.

The team will know sooner when a vendor bill needs to be paid when the new card is created in the board.

Solution:

Every Tuesday, when a card is in the status 'Repeated Weekly Tasks', create a card with the correct template in status 'To Do'.

Billing Process

Situations and why it takes time:

Customers will renew for invoicing on a monthly basis, and to manually check when these customers are renewing takes time for the team.

Wanted actions and how it saves time:

When a renewal is getting closer it would be more convenient and time saving to automatically get reminders and cards created that the team needs to reach out to the customer and start negotiating the renewal of the customers agreement.

Solution:

Every month on specific dates, when the card is in status 'Renew Monthly', send a notification to the team member responsible for renewing customer agreements.
